Privacy statement
How FreightSonar collects, uses and protects personal information, in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta’s Personal Information Protection Act.

What we collect
- Account and contact details: name, work email, phone, company, and the people you invite to your organization.
- Shipment details: pickup and delivery addresses, contacts at those sites, freight descriptions, references, declared values and instructions.
- Quote history: lanes, freight and prices quoted to you, including quotes made without an account when you gave an email address.
- Technical data: IP address, browser, and the pages you use, collected by our hosting and security providers to run and protect the service.
Why we use it
- To price, book, dispatch, track and invoice shipments, including sharing pickup and delivery details with the carrier hauling your freight.
- To send transactional email: quotes, confirmations, milestones, invoices and sign-in links. We do not send marketing email without consent.
- To improve our rates and lane coverage. Prices we quote and loads we move feed our own lane history in aggregate; we never publish a customer’s name or prices.
- To meet legal duties: dangerous goods records, tax, and claims.
Who sees it
- The carrier assigned to your shipment receives the site addresses, contacts, freight details and instructions needed to perform the pickup and delivery, and nothing about your pricing.
- Service providers that host and protect the platform (Cloudflare for delivery and bot protection; our email relay for transactional mail; our hosting provider in Canada). They process data on our instructions.
- Authorities where the law requires, and insurers or adjusters in a claim.
Where it lives and how long
Our application and database run on servers located in Canada. Shipment records, bills of lading and invoices are kept for seven years to meet tax and claims requirements. Account data is kept while the account is open and deleted on request afterwards, except where a record must be retained by law.
Security
Traffic is encrypted in transit, access to the dispatch desk is limited to staff with individual sign-ins, and the database is backed up daily. No system is perfectly secure; if a breach creates a real risk of significant harm we will notify you and the Privacy Commissioner as the law requires.
Your choices
- You can see and correct your account details in your workspace, and download your quotes and shipment documents there.
- You can ask us for a copy of the personal information we hold about you, ask us to correct it, or withdraw consent where consent is the basis for its use, subject to legal and contractual limits.
- Quotes made without an account can be claimed into an account from the email we send, or left to expire.
Cookies
We use a session cookie to keep you signed in and a security cookie from Cloudflare to tell people from bots. We do not use advertising cookies.
Contact
Privacy questions and access requests go to our privacy officer at the contact address shown in the footer of every email we send you. We answer within 30 days.
